How we handle personal information, why we hold it, and what you can ask us to do with it.

Vertex Computer Technology (Pty) Ltd processes personal information to deliver IT services, manage accounts and support client communications. Data is handled lawfully under consent, contract and legitimate interest.

What we collect

Depending on how you deal with us, we may hold your name, business name, contact numbers, email address, physical and delivery addresses, billing and payment details, service and repair history, device details such as serial numbers and asset tags, and correspondence with our team.

When a device is booked in for repair, we necessarily have access to the data stored on it. Our technicians access only what is needed to diagnose, repair, back up or restore the device, and we do not copy, retain or share your files beyond what the job requires.

Why we process it

  • Contract: quoting, repairing, supplying goods, delivering services and honouring warranties.
  • Legal obligation: invoicing, tax and company records we are required to keep.
  • Legitimate interest: maintaining a service history, preventing fraud, securing our premises and systems, and improving how we work.
  • Consent: optional marketing and updates, which you can withdraw at any time.

CCTV

CCTV may operate at our premises for the security of staff, clients and equipment. Footage is retained only for as long as is reasonably necessary and is accessed by authorised personnel or law enforcement where required.

Sharing

We share personal information only where it is needed to do the work: suppliers and distributors fulfilling an order, manufacturers processing a warranty claim, couriers making a delivery, our accountants and auditors, and authorities where the law requires it. We do not sell personal information.

Security

We apply appropriate technical and organisational measures to protect personal information, including access controls, secured premises, hardened server configuration and encrypted transmission of data submitted through this website. No system is perfect; if a breach occurs that poses a real risk to you, we will notify you and the Information Regulator as required.

Retention

We keep records for as long as needed for the purpose collected, and thereafter for the periods required by South African tax and company law. Devices and media left with us are held in accordance with our workshop terms; unclaimed equipment is dealt with as set out in those terms.

Your rights

You have the right to access the personal information we hold about you, to ask for correction or deletion, to object to processing, to withdraw consent for marketing, and to lodge a complaint with the Information Regulator.

Cookies and third-party content

This website does not set advertising or tracking cookies of its own. Some pages embed third-party content — Google Maps and Facebook — which is loaded only when you scroll to it, and which may set cookies under those providers' own policies once loaded. Your browser settings control whether those cookies are accepted.

We may update this notice as our services or the law change. The current version always appears on this page.
